Museum object and image rights data for AI

An object record and its photograph may have different reuse conditions.

An object record and its photograph may have different reuse conditions. Smithsonian Open Access explains how eligible items are marked and notes that restrictions can apply to other materials. A museum can demonstrate an item-level evaluation with fictional records and original prop images. Smithsonian Open Access FAQ

Create two mock object records and image IDs. Give one image a documented exercise grant and leave the other pending review. Ask which source supports reuse of each asset and what the record does not establish. Include a derivative with a missing link to the source image.

Respect donor terms, culturally sensitive materials, protected imagery, private collections and exact locations. Use invented or independently authorized records. Ask the appropriate authority before sharing actual collection material.

Describe a museum rights evaluation

Original Fiund exercise

The object's status and its photograph's status are different fields

Two invented museum objects and original prop-image records make item-level reuse questions. No actual collection item, donor term or culturally sensitive material is included.

Fictional records supplied to the evaluator
RecordSourceWhat it records
MO1Mock object registerObject O1 has exercise-use U statement for its original description. Object O2 has reuse status unresolved.
MO2Image registerPhoto P1 of O1 has a separate U grant. Photo P2 of O2 remains pending review.
MO3Derivative thumbnailFile TH1 labeled O1-small has no verified source-image relationship. No grant expressly names TH1.

Question for the model

Which specific object text and photo have explicit U support, and can O1's status automatically clear TH1 or O2's image?

Show the reference answer and checks

MO1 explicitly supports O1's original descriptive text, and MO2 separately supports photo P1 for U. O2 and P2 remain unresolved or pending. TH1's label suggests a relationship but supplies no verified source-image link or named grant. O1's text status cannot by itself clear the thumbnail or another object's photograph. Preserve the object, image and derivative records as distinct permission subjects.

  • Treating an object's descriptive rights statement as a blanket grant for every photograph.
  • Assigning a thumbnail to a cleared image from its filename alone.

Fields to preserve

Object text and image identity
Separates two source materials.
Derivative-to-source link
Makes a thumbnail's provenance checkable.
Asset-specific grant and reviewer
Preserves pending image review independently of object access.

Test another case

Add a verified TH1-to-P2 link. Require the model to resolve provenance while retaining P2's pending permission rather than assuming O1 from the filename.

Use original props and fabricated records. Exclude donor files, sensitive collections, exact object locations, protected imagery and private collection material.

Discuss a contribution

Describe the sources you control, the task they could support and what has already been checked. Use the existing-data assessment for an archive or the collection brief for a new recording project. The contributor agreement defines Fiund’s licensing authority and compensation. A guide or fictional exercise does not establish an accepted collection or a sale.
