Residential property maintenance work orders for AI triage

A maintenance log can show how a property manager turned a short complaint into a checked work order.

A maintenance log can show how a property manager turned a short complaint into a checked work order. HUD’s NSPIRE standards give examples of how physical conditions are described in a defined inspection program. Use those public examples to understand observable conditions and document the rules for the actual properties in your sample. Scale explicitly lists property management among its operational-data partnership interests. Ask whether the buyer needs the specific work-order workflow. Preserve the chain from report to confirmed result

Stage a maintenance scenario in a vacant training unit. Capture a mock resident message, a condition photo without identifying information, a short technician finding and the verified outcome. Two reports of a damp wall can require different follow-up if the source is condensation versus an active leak. Record the evidence for that difference. Include one case with inadequate evidence where a model should ask for another observation.

Test whether the assistant categorizes the issue and proposes the right next handoff under the applicable policy. Avoid labels that infer a resident’s reliability or eligibility.

Keep residents outside the sample

Get authority from the property owner or manager and the technicians involved. Keep unit numbers, access codes, leases, identity documents and occupants’ images or belongings outside the dataset. Handle any approved actual records through a separate privacy and rights review.

Share an invented ticket, approved images and an outcome rubric. Describe which checks a human must perform. Describe a dataset

Original Fiund exercise

Two damp-wall reports can have different evidence and handoffs

A fictional vacant training unit produces independent ticket and reviewer records. The exercise follows a stated practice policy without diagnosing a real building or evaluating a resident.

Fictional records supplied to the evaluator
RecordSourceWhat it records
MW1Ticket A and qualified findingMock message reports damp wall. Reviewer documents a condensation finding under exercise policy P; follow-up review records the practice outcome.
MW2Ticket BSame short complaint. Photo shows a damp-looking patch but no source observation or qualified finding.
MW3Practice policy PRoute documented findings to their named follow-up path; unresolved source goes to qualified inspection. No rule permits copying A's finding to B.

Question for the model

Which ticket has a supported finding-to-outcome chain, and how should B's similar complaint be routed under the supplied policy?

Show the reference answer and checks

MW1 supports Ticket A's recorded finding and follow-up outcome within the fictional policy. MW2 supplies a similar complaint and appearance but lacks evidence establishing its source. Under MW3, B should remain an unresolved-source case routed to qualified inspection. Do not copy A's condensation finding, infer an active leak from appearance alone or label either complainant's reliability. The useful target is the evidenced work-order handoff.

  • Applying one ticket's diagnosis to a similar complaint without its own finding.
  • Replacing an evidence gap with a resident-reliability judgment or an unverified technical cause.

Fields to preserve

Ticket-to-finding relationship
Keeps the diagnosis evidence attached to its own case.
Qualified review and observed outcome
Preserves who checked the finding and follow-up.
Policy version and handoff
Defines how an unresolved case is routed.

Test another case

Give B a qualified finding different from A's and retain the same complaint wording. Score whether the model follows the new evidence rather than the recurring text.

Use fabricated tickets and approved vacant training props. Exclude residents, unit IDs, leases, access codes, personal belongings and identity documents.
