Build a public-sector AI evaluation from versioned records

A public office can evaluate whether an AI assistant quotes an adopted document, preserves a reporting definition or notices missing approval.

A public office can evaluate whether an AI assistant quotes an adopted document, preserves a reporting definition or notices missing approval. Start with original exercises or authorized source material. Track who issued each record, which version applies and what the proposed AI use permits.

Run a small original case

Invent a local notice about changing an administrative form. Draft V1 proposes June 1. Signed V2 applies from June 15 to Department A only. An index entry points to a Department B notice but omits its attachment. Ask which instructions apply to each department on June 20, and require the answer to cite the governing record. Score version, effective date, scope and handling of the missing attachment independently.

Give the evaluator a source key with document ID, issuing role, publication date, effective date, status, scope and allowed use. Hold back the answers from the model. A second case can change the order in which records appear and omit the signed revision to test how the model handles uncertainty.

Document permission by source

For each public source, record the publisher, original author or owner, release version, stated terms and any included third-party content. Data.gov provides open licensing guidance. U.S. government works generally fall under a specific federal copyright rule with exceptions. A publicly accessible file may still contain third-party content, personal information or material subject to separate restrictions. State, local and Tribal sources require their own authority and applicable terms. Keep restricted material out of the first sample and direct any real export proposal to an authorized records, privacy and procurement lead. An original cutoff and scope check

For the fictional notice example, the expected June 20 answer applies signed V2 to Department A from June 15. The Department B index entry lacks its attachment, so the supplied package cannot establish B’s applicable instruction. Draft V1’s proposed June 1 date does not override the signed, scoped record.

Keep the public-source location and actual permission basis separate in the review key. A file being easy to download does not settle all included content or personal-information questions. The exercise tests administrative evidence and does not issue a real notice, legal opinion, procurement approval or access decision.
