INDUSTRY FIELD GUIDE

Dental practices can start with non-patient workflow examples

There are two very different dental data paths.

There are two very different dental data paths. A practice can create authorized recordings of a simulated administrative or training workflow. Clinical imaging and patient records require a separate governance path. The FDA's Pearl clearance illustrates a real application in AI-assisted radiograph review. The clearance is evidence of a product category. It gives a dental office no automatic authority to license charts or scans. FDA record · HHS de-identification guidance

Start with a supervised session using staff who have agreed to participate, a typodont or practice model, and a sandbox with fabricated appointment information. Film a procedure explanation or a benign workflow such as assembling a tray. A possible dataset can align hand actions, item labels, timestamps and expert review. For a document example, reconstruct a clean, fictional scheduling or insurance-eligibility workflow with no real payer records.

Keep real patient names, voices, faces, appointment details, charts, radiographs and exports out of a staged pilot. If a buyer later wants clinical data, have the privacy lead and qualified counsel determine the lawful basis, contracts, state requirements and an appropriate de-identification or other authorized pathway. Removing a name field alone does not address free text, metadata or re-identification risk.

First step. Describe an approved training task, staff roles and what it would teach. Provide no patient material in the first contact. Describe a proposed collection.

A first-person training sample with a review key

Use a typodont or inert practice tray in a closed training room. Choose a nonclinical task such as retrieving two clearly labeled practice items and placing them in marked positions. Record a brief wide reference view and a first-person take with the hands, labels and final positions visible. Ask a separate reviewer to timestamp the retrieval and placement events. Keep a second take with a blocked label as a recapture example. The goal is to show observable handling and reliable labels, without performing or teaching a patient procedure.

For this first sample, document who owns the footage and props, who agreed to appear, which room was approved, and whether the agreement covers training, evaluation or both. Avoid recording incidental speech, branded forms, real appointment cards and clinical screens. Ask for the buyer's task brief and rights terms before commissioning volume. The FDA’s clearance for an AI dental image product illustrates a separate clinical data use. The ADA describes independent validation and annotation considerations for 2D radiographs. Discuss any proposal involving real clinical material with the institution's privacy, clinical and legal leads. FDA Pearl record · ADA standards overview

Original Fiund exercise

Check a nonpatient practice-tray recording

An original closed-room exercise uses two inert labeled training items and a practice tray. It contains no patient material, clinical procedure or diagnostic decision.

Fictional records supplied to the evaluator
RecordSourceWhat it records
TRAY-D1Independently written practice cardPlace item Alder in position 1 and item Birch in position 2.
TAKE-D2Permitted practice viewAlder's label is visible as it reaches position 1. A hand hides the second item's label during placement in position 2.
REVIEW-D3Separate time-coded reviewThe reviewer confirms Alder at 00:12. At 00:18 the item identity is marked unresolved because the label is blocked.

Question for the model

Which placement can be labeled as independently confirmed, and what should remain unresolved?

Show the reference answer and checks

Alder's placement in position 1 is supported by the visible identifier and the matching D3 review at 00:12. The second placement has an unresolved identity under the supplied evidence. The intended tray card cannot replace the hidden label. Preserve the reviewer flag and request a suitable view if the accepted task needs that identity. No clinical result or patient-care conclusion follows.

  • Using the intended tray order to label an occluded item as observed.
  • Dropping the time-coded uncertainty when exporting the final annotations.

Fields to preserve

Practice item and position
State the identity and destination the source actually supports.
Take and timestamp
Connect each review to the exact recording interval.
Observation status
Keep visible, confirmed and unresolved labels distinct.
Source permissions
Document staff, room, footage and prop authority for the intended use.

Test another case

Create a second tray layout with both identifiers visible but one position reversed. The model must follow the new evidence and card.

Use consenting adults and original training props. Exclude patients, real appointments, charts, scans, payer records, screens and background clinical conversation. Any clinical-data proposal needs separate institutional review.

Discuss a contribution

Describe the sources you control, the task they could support and what has already been checked. Use the existing-data assessment for an archive or the collection brief for a new recording project. The contributor agreement defines Fiund’s licensing authority and compensation. A guide or fictional exercise does not establish an accepted collection or a sale.
