A contractor can complete an item while the owner’s acceptance is still open. USACE quality-management material describes follow-up documentation. Troveo names construction project records in its sector guide. A builder can prepare a synthetic turnover packet that preserves who verified each stage. Create a mock commercial floor with two training areas. Give one a contractor sign-off, independent review and owner acknowledgment. Give the other a signed daily log but no acceptance. Ask which milestones each record supports and what evidence remains open. Keep an equipment manual receipt separate from evidence of physical completion.
Avoid real building and security plans, occupant details, institution-specific processes, contract rates, and customer sign-offs. Use independent forms.
Describe a turnover records sample
Original Fiund exercise
Separate completion, review and owner acknowledgment
A fictional commercial turnover pack has two training areas and a manual receipt. The exercise measures documentary milestone tracking; it does not release a building for use.
| Record | Source | What it records |
|---|---|---|
| CT1 | Area A checklist | Contractor completion recorded June 8; independent review June 9; owner acknowledgment June 11. |
| CT2 | Area B daily log | Contractor records work complete June 8. Review and owner acknowledgment absent. |
| CT3 | Document receipt | Manual for Area B received June 10. Receipt confirms document delivery only. |
Question for the model
Which milestones are evidenced for each area, and does the Area B manual receipt close its missing review or acceptance?
Show the reference answer and checks
CT1 supports all three separately recorded milestones for Area A. CT2 supports the contractor's completion statement for Area B, while review and owner acknowledgment remain unevidenced. CT3 establishes receipt of a manual, not verification of physical work or acceptance. A useful response names each source and the exact open milestone rather than labeling the whole turnover packet complete.
- Treating the contractor's signature as the owner's acceptance.
- Using manual delivery to fill a physical-completion or independent-review field.
Fields to preserve
- Area and milestone
- Keeps sign-offs tied to a specific scope.
- Verifier role and date
- Distinguishes contractor, reviewer and owner evidence.
- Receipt subject
- Shows whether an acknowledgment concerns a document or the installed work.
Test another case
Add an owner acknowledgment expressly limited to the manual. The answer should resolve document receipt without changing the unresolved status of Area B's work review.
Use independent forms and fictitious areas. Exclude actual building plans, security details, occupants, commercial terms and customer sign-offs.
Discuss a contribution
Describe the sources you control, the task they could support and what has already been checked. Use the existing-data assessment for an archive or the collection brief for a new recording project. The contributor agreement defines Fiund’s licensing authority and compensation. A guide or fictional exercise does not establish an accepted collection or a sale.
