Septic pump-out and maintenance visit records for AI

A homeowner’s bill may list a visit without containing the evidence for every service performed.

A homeowner’s bill may list a visit without containing the evidence for every service performed. EPA’s SepticSmart program provides maintenance guidance and emphasizes maintaining records. A service operator can build a fictional example that separates the requested service, work performed and any independent inspection record. EPA SepticSmart

Create a dummy service history with one scheduled visit, one completed pump-out and an inspection entry tied to a different visit. Ask which service was completed, when, and whether the records establish an inspection at that visit. Give reviewers separate keys for the service order, invoice and completion acknowledgment.

Use fabricated addresses and an original maintenance form. Exclude homeowner information, drain-field layouts, actual volume histories and images of private properties. Keep the example focused on record interpretation.

Original Fiund exercise

A completed pump-out and a separately dated inspection must not be merged into one visit

An original maintenance-history fixture uses fictional locations and service labels. It contains no property image, system layout, homeowner or actual pump-out operation.

Fictional records supplied to the evaluator
RecordSourceWhat it records
SE1Visit V1Day 2 scheduled visit, no completion. Invoice names a generic visit fee but contains no performed-service fields.
SE2Visit V2Day 5 original completion acknowledgment explicitly records the fictional pump-out service under V2. No inspection reference.
SE3Inspection I3Day 8, visit V3, separate original inspection entry. Same dummy location but no statement that V2 included inspection.

Question for the model

Which service and date are confirmed, and do the invoice or V3 inspection establish that V2 included an inspection?

Show the reference answer and checks

SE2 explicitly supports the documented pump-out service on day five under V2. SE1's generic invoice does not establish V1 completion or a specific performed service. SE3 belongs to V3 on day eight and cannot prove an inspection occurred at V2. Keep scheduled visit, invoice, service completion and separate inspection as distinct records rather than combine a site's entire history into one completed visit.

  • Treating a generic invoice as proof of every requested service.
  • Assigning a later inspection to an earlier visit because the location matches.

Fields to preserve

Visit and service type
Defines the event.
Scheduled versus completed date
Separates intended and confirmed work.
Invoice scope and inspection reference
Limits combined claims.

Test another case

Add a V2 inspection draft without sign-off. Require its existence to be acknowledged while completed inspection remains unverified.

Use fabricated forms and locations. Exclude owners, drain-field layouts and actual volume histories; the exercise gives no maintenance instructions.

Describe the sources you control, the task they could support and what has already been checked. Use the existing-data assessment for an archive or the collection brief for a new recording project. The contributor agreement defines Fiund’s licensing authority and compensation. A guide or fictional exercise does not establish an accepted collection or a sale.
