Notary certificate and journal matching data for AI
A notary office can test a model on matching records while leaving the validity of any notarization to authorized people.

A notary office can test a model on matching records while leaving the validity of any notarization to authorized people. California publishes a notary handbook with state-specific guidance on certificates and journals. Build the example with invented documents and an original mock layout. California Secretary of State notary handbook
Assign two dummy documents similar reference IDs and prepare a mock certificate for only one. Add a journal entry with a blank document field. Ask which records can be linked and whether the journal alone supports the connection. The expected answer should cite the matching ID and describe the missing evidence.
Do not film real appointments or include signatures, seals, ID scans, thumbprints or actual journal entries. Confirm that any original templates and demonstrations are authorized for the stated evaluation.
Describe a synthetic notary records sample
Original Fiund exercise
A blank journal field cannot link a certificate to the expected document
Original dummy layouts have invalid reference IDs and no signatures or seals. The task matches records without assessing the validity of an actual notarization.
| Record | Source | What it records |
|---|---|---|
| NTY1 | Practice documents | Document AB12 and document AB21 are distinct original cover sheets. |
| NTY2 | Mock certificate | Certificate C1 explicitly references AB12. No certificate names AB21. |
| NTY3 | Dummy journal row | Row J1 has document field blank; folder label says AB21, but no supporting reference or correction links it. |
Question for the model
Which certificate-to-document relation is supported, and does J1 establish a journal link or certificate for AB21?
Show the reference answer and checks
NTY2 explicitly links C1 to AB12 in NTY1. AB21 has no named certificate in the packet. NTY3's blank document field cannot be filled from its folder label without supporting evidence, so the journal relationship remains unresolved. Preserve exact IDs and the missing field rather than swapping similar numbers or treating document matching as a conclusion about a real notarization's validity.
- Transposing AB12 and AB21 when linking records.
- Filling a blank journal document field from an expected folder name without source authority.
Fields to preserve
- Exact document and certificate ID
- Defines the explicit relation.
- Journal reference field
- Shows whether a source link exists.
- Folder metadata versus record body
- Preserves a weak contextual cue without elevating it to proof.
Test another case
Add a verified J1 reference to AB12 despite the AB21 folder. Require the model to follow the record and flag misfiling rather than silently alter identity.
Use invented layouts only. Exclude real appointments, signatures, seals, IDs, thumbprints and actual journals.
Discuss a contribution
Describe the sources you control, the task they could support and what has already been checked. Use the existing-data assessment for an archive or the collection brief for a new recording project. The contributor agreement defines Fiund’s licensing authority and compensation. A guide or fictional exercise does not establish an accepted collection or a sale.
